Hi Sam,

I would like to answer your questions as below:

Q1: How do I manage space?
A1: Do you mean how to manage licenses in Office 365? If so, I recommend you have a look at the articles below:
Assign or remove licenses, or view a list of unlicensed users (for Office 365 Enterprise admin, Office 365 Midsize Business admin) http://office.microsoft.com/en-in/office365-suite-help/assign-or-remove-licenses-or-view-a-list-of-unlicensed-users-HA102816053.aspx
Assign or remove license (for Office 365 Small Business admin): http://office.microsoft.com/en-in/office365-suite-help/assign-or-remove-licenses-HA102816056.aspx

Q2: If a user is no longer with my company what happens to the mailbox and data?
A2:  you (as the administrator of the organization) can first backup the data in this mailbox (if you think it is necessary and the data is important), then delete this user mailbox, and free a license.

Q3: What does additional space cost?
A3: it depends on what kind of license you want to buy. You can see the details in the official site: http://office.microsoft.com/en-us/business/compare-office-365-for-business-plans-FX102918419.aspx

Q4: What does additional Exchange space cost?
A4: Please see the price in this site: http://office.microsoft.com/en-us/exchange/compare-microsoft-exchange-online-plans-hosted-email-for-business-FX103764022.aspx

Q5: How are group email addresses handled are they considered additional users?
A5: There are also Exchange Online groups that you can use to send email or assign permissions to a group of users, and SharePoint security groups that grant users rights and access to sites and site collections. They can be managed as a user, but they don’t need a license. To learn about the Exchange online group in Office 365, please see the articles below:
Manage Mail-Enabled Security Groups http://technet.microsoft.com/en-us/library/bb123521.aspx
Manage Distribution Groups http://technet.microsoft.com/en-us/library/bb124513.aspx

Q6: With Office 365 I can install Office on 5 different machines, is that also true for E3 and Small Business?
A6: Yes, you are right.

Q7: If I can install Office 365 on multiple machines can Outlook be pointed to a different server than the company's 365 Exchange server?
A7: Yes, you can configure other third-party email accounts in the Outlook client.

Please feel free to post back if you need further help.

Regards,
April Zhou
